This employee would be the heartbeat of our office and retail store. So please bring an amazing attitiude. We are looking for a very detail oriented person that possesses a strong work ethic and has demonstrated to be a self-motivated, ultra dependable, extremely organized, and can consistently demonstrated a cheerful and professional demeanor. Duties Oversee daily office operations to maintain a productive and organized environment Provide basic IT to employees. This includes smart phone app troubleshooting and installation. Place sales orders, create invoices, make backorders, and ensure product delivery protocols are correctly performed. Create purchase orders for vendors Handle vendor management tasks including negotiating contracts, processing invoices, and maintaining supplier relationships Maintain accurate bookkeeping records using QuickBooks. Support human resources functions such as onboarding new employees, managing payroll processes, and assisting with employee records Oversee front desk activities including multi-line phone systems, using credit card machines, greeting customers with professional phone etiquette, and managing incoming email correspondence in a timely manner. Implement filing systems and organize documents for easy retrieval; ensure compliance with confidentiality standards Receive orders, monitor pricing, adjust inventory as needed and aid in putting orders away. Perform basic accounting duties with regards to accounts receivable and accounts payable Aid customers with product selections Communicate confidently and proactively with management on issues or concerns that need to be addressed. Basic cleaning of showroom and rest rooms. Knowledge and Abilities Knowledge and skills in operating basic office equipment and supplies. Ability to communicate effectively both verbally and written to clients, vendors, co-workers and managment. Strong proficiency in QuickBooks software is required Ability to exercise sound administrative judgement and make decisions that impact companies and employees. Ability to follow through with assignments and hold yourself accountable. Ability to prioritize and execute multiple tasks effectively Possess exceptional organizational and time management skills with meticulous attention to detail. Ability to lift 50 lbs. Ability to work independently and in a team setting Must be punctual and reliable Assist with social media accounts Ability to abate customer complaints with a kind, supportive and professional demeanor. Experience Minimum 2 years office experience with emphasis on customer relations (mandatory) In house sales experience (preferred) Minimum 2 years Quick books experience (mandatory) Ability to work Mon-Fri 8:30 - 5:00pm (mandatory) Commerical cleaning experience or knowledge (preferred) Microsoft Office experience (mandatory) Multi lingual would be ideal Join us as an Office Administrator/Office Coordinator and be part of a vibrant organization that values innovation, teamwork, and excellence! Pay:
$24.00 - $29.00 per hour Expected hours: 35.0 - 40.0 per week
