Overview We are seeking a dynamic and organized Office Manager / Bookkeeper to join our team and help streamline daily operations while maintaining accurate financial records. This vital role combines office management with bookkeeping responsibilities, ensuring the smooth functioning of administrative processes, vendor relations, and financial transactions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive work environment. Responsibilities Oversee daily office operations. Manage vendor relationships by coordinating procurement, negotiating terms, and maintaining timely payments. Supervise administrative staff and provide training & development opportunities to enhance team performance. Handle bookkeeping tasks using QuickBooks accounting software, including invoicing, expense tracking, and reconciling accounts. Manage payroll processing in collaboration with human resources, ensuring accuracy and compliance with relevant regulations. Prepare budgets, monitor expenses, and assist with financial planning to support organizational goals. Maintain organized filing systems for general office records, ensuring confidentiality and easy retrieval of documents. Support human resources functions such as onboarding new employees, managing employee records, and assisting with HR policies. Ensure effective schedule management for leadership and staff by coordinating appointments, deadlines, and project timelines. Conduct clerical tasks including data entry, correspondence handling, and maintaining office supplies inventory. Skills Proven experience in office management or administrative roles with strong organizational skills. Demonstrated bookkeeping expertise using QuickBooks. Supervising experience with the ability to lead teams effectively and foster a collaborative environment. Excellent communication skills for interacting with vendors, clients, team members, and external partners. Strong calendar management abilities to prioritize tasks efficiently. Knowledge of human resources processes including payroll administration and employee onboarding. Proficiency in filing systems—both digital and physical—and maintaining confidentiality of sensitive information. Experience with professional phone etiquette. Ability to handle budgeting responsibilities accurately while monitoring expenses against organizational goals.
