Job Description
Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, maintaining a welcoming front desk presence, and supporting team productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient workplace. As an Office Manager, you will be the backbone of our office operations, fostering a positive atmosphere while managing essential administrative functions with precision and professionalism. This is a Catholic Parish with churches at two locations. Knowledge of the Catholic Faith, especially Funerals and Weddings is very helpful and can be learned. Responsibilities Oversee all office management activities, including supply procurement, equipment maintenance, and workspace organization to ensure a productive environment. Manage front desk operations by supervising front desk volunteers, answering a dual line phone systems, and directing calls with courteous, professional phone etiquette. Coordinate calendar management and scheduling for meetings and on-site events, using Google calendar tools.
Light bookkeeping:
scanning receipts, bills, and invoices for off site bookkeeper. Taking donations for Masses and other parish events. Support member communication efforts by providing exceptional customer service via phone and email correspondence.Light HR responsibilities:
work with employees gathering time sheets, time off requests, or overtime requests. Work with parishioners on obtaining information and stipend payments for various liturgies, both funerals and weddings. Work with Marketing Assistant to produce materials for these events. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency. Experience with office management procedures including filing systems, calendar management, and data entry. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Strong communication skills and professional phone etiquette for front desk interactions. Able to learn Office Data Management Software for member contact information. Demonstrated clerical experience including typing, proofreading, document processing, and file management. Ability to handle sensitive information discreetly while maintaining high levels of accuracy in data entry. Effective time management skills to balance multiple responsibilities while maintaining attention to detail.
