Job Description

Darien Orthodontics is seeking a highly capable, hands on Office Manager to lead the day-to-day operations of a growing, single-doctor, family-owned orthodontic practice in Darien, CT. This role is responsible for keeping the practice running efficiently across scheduling, team management, patient experience, and financial performance. The ideal candidate is organized, accountable, and comfortable taking ownership of both front office operations and overall practice flow. Responsibilities Oversee daily operations including scheduling, patient flow, and front desk coordination to ensure an efficient, well-run office Manage billing, collections, insurance processing, and financial tracking to maintain strong revenue performance Lead and manage administrative staff, including hiring support, training, accountability, and performance management Ensure a high-level patient experience from first contact through treatment completion Maintain accurate records and oversee practice management systems (Cloud9 preferred) Coordinate closely with the doctor and clinical team to ensure smooth, on-time clinic flow Handle insurance verification, claims submission, and follow-up on outstanding AR Maintain compliance with HIPAA, OSHA, and general healthcare regulations Identify inefficiencies and implement systems to improve operations, communication, and profitability Requirements Proven ability to lead a team and hold staff accountable Comfortable working in a fast-paced, high-accountability environment Strong organizational and communication skills Experience with practice management software What We're Looking For Someone who takes ownership and does not need to be micromanaged Strong with people — both patients and team Operationally sharp — can keep the office moving and solve problems quickly Motivated to grow with the practice and help build something long-term This is an opportunity to play a key role in building a high-quality, boutique orthodontic practice focused on excellent care, strong systems, and a great patient experience.
Pay:
$20.00 - $25.00 per hour
