Job Description
Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, fostering a productive workplace, and supporting team success. The ideal candidate will bring a proactive attitude, exceptional communication skills, and a passion for creating an efficient, welcoming office atmosphere. As an Office Manager, you will oversee a variety of administrative functions, coordinate vendor relationships, manage scheduling and bookkeeping tasks, and support human resources initiatives to promote a positive work environment. Need to understand construction. willing to trian right person Duties Oversee daily office operations, ensuring all administrative processes run seamlessly and efficiently Manage calendar scheduling for executives and team members, coordinating meetings and appointments with precision Supervise office staff and provide training & development opportunities to foster team growth Handle vendor management by negotiating contracts, maintaining relationships, and ensuring timely delivery of supplies and services Coordinate event planning for company meetings, workshops, and special functions to promote team engagement Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing and human resources documentation Manage front desk responsibilities including multi-line phone systems, phone etiquette, greeting visitors, and handling clerical duties such as filing and document organization Oversee office budgeting efforts to optimize resource allocation while controlling costs Ensure compliance with health and safety regulations in the medical or general office setting as applicable Skills Proven experience in office management or administrative roles with strong organizational skills Supervising experience with the ability to lead and motivate teams effectively Proficiency in QuickBooks for bookkeeping, payroll, and budgeting tasks Excellent communication skills—both verbal and written—and professional phone etiquette Strong event planning capabilities to coordinate meetings, trainings, and company events Experience with vendor management to build productive partnerships and negotiate contracts Knowledge of human resources functions including onboarding, employee records management, and compliance requirements Skilled in schedule management using digital calendars; adept at multitasking in fast-paced environments Familiarity with medical office management or similar settings is a plus Ability to handle clerical tasks efficiently—filing systems, front desk operations, multi-line phone systems—while maintaining professionalism Join us as an Office Manager to be at the heart of our organization's success!
