Responsibilities Supervise and coordinate the daily activities of office personnel, ensuring efficient workflow and high-quality customer service Manage scheduling for staff, appointments, and meetings using calendar management tools to optimize productivity Oversee vendor relationships, including negotiating contracts and managing service delivery to support office operations Handle human resources functions such as onboarding new employees, training, performance evaluations, and maintaining confidential personnel records Oversee bookkeeping, payroll processing, budgeting, and financial recordkeeping utilizing accounting software like QuickBooks and other financial tools Maintain accurate filing systems for client records, policy documents, and administrative paperwork while ensuring compliance with confidentiality standards Coordinate office events and community outreach initiatives through event planning to promote agency visibility and engagement Requirements Proven supervising experience with strong team management skills in an office or administrative environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for data analysis and reporting Experience with accounting software such as QuickBooks or similar financial programs; familiarity with bookkeeping and payroll processes Excellent organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced setting Strong communication skills for effective client interaction, team leadership, and vendor negotiations Knowledge of human resources practices including employee training, development, and handling confidential information responsibly Previous office experience in an insurance or financial services environment is highly desirable Ability to handle multi-line phone systems professionally with excellent phone etiquette Technical proficiency in office management tools and software to streamline operations and improve efficiency Join us to lead a vibrant team dedicated to delivering exceptional service while managing the core administrative functions that keep our agency thriving.
