Full-Time (Administrative) Chabad of Stamford is seeking a detail-oriented, proactive, and organized Office Manager to join our team. This role is the heartbeat of our daily operations, ensuring that our community members are supported, our finances are meticulously tracked, and our events run smoothly. This position helps ensure the office is stocked, organized, maintained, and running efficiently, with phones answered promptly and community needs handled professionally.
KEY RESPONSIBILITIES 1.
Own the Office Take ownership of the day-to-day operation of the office. Identify issues, ensure they are resolved, and proactively prevent future problems. Serve as the primary point of contact for operational matters while recognizing when leadership input or approval is required before making significant decisions. Enable leadership to focus on the organization's mission rather than routine office operations. 2. Own the Office Systems Take ownership of office operations software and all office processes. Ensure recurring tasks, SOPs, and process documentation remain accurate and up to date. Ensure every office process has a clear owner and is consistently followed. Continuously improve systems to increase efficiency, accountability, and consistency. 3. Build and Lead the Office Team Set clear expectations and maintain accountability for the office team, including remote staff. Monitor workload, productivity, and quality of work. Hire, onboard, and train new office employees when needed. Ensure the office team is productive, supported, and working efficiently. 4. Manage Vendor Relationships Serve as the primary operational point of contact for all vendors. Regularly evaluate vendor performance, pricing, and overall satisfaction. Conduct an annual review of the organization's Top 10 vendors, obtaining competitive proposals where appropriate. Present recommendations that improve service and reduce organizational costs. 5. Drive Continuous Improvement Continually identify opportunities to improve office operations. Implement process improvements and appropriate automation. Build a stronger, more efficient, and scalable office over time. Ensure all executive assistant tasks are done to perfection, and hire support when needed Personal Attributes & Work Style The ideal candidate will thrive in a fast-paced, mission-driven environment and demonstrate the following qualities: Comfortable receiving direction and feedback from multiple team members and departments. Qualifications Tech Proficiency :
Strong experience with CRM systems, Microsoft Excel/Word, and Google Drive. Comfortable with general hardware troubleshooting and office technology.
Organizational Skills :
A "knack" for keeping physical and digital files in perfect order. Attention to
Detail :
Ability to spot duplicate payments or misclassified invoices instantly.
Reliability :
Comfort managing recurring weekly and monthly deadlines without supervision.
Interpersonal Skills :
