Job Description

Position Overview We are seeking to add another Administrative Assistant to support our construction team. This role is ideal for someone who is highly detail-oriented and organized. We are looking for someone who excels at managing schedules, handling documentation, coordinating vendors, and keeping projects on track. Strong communication skills, accuracy, and the ability to manage multiple priorities in a fast-paced environment are essential. Basic computer skills are a must, those without an ability to manage email/technology are not encouraged to apply. The Administrative Assistant will work closely with the office manager and office team to ensure smooth daily operations, assist with client communication, and provide critical support from project initiation through completion. Key Responsibilities Manage scheduling, phone calls, emails, and client inquiries with professionalism. Prepare and maintain accurate records, job files, and purchase orders. Coordinate with vendors, suppliers, and contractors regarding product availability, pricing, and delivery. Maintain and update material libraries, catalogs, and price lists. Organize and prepare documents, presentations, and meeting materials. Track orders, deliveries, and project timelines to support on-time execution. Assist in organizing client meetings, including presentation materials and samples. Perform general office duties such as filing, data entry, and document management. Support the business manager with other administrative duties as assigned Qualifications Exceptional organizational skills with strong attention to detail. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Suite Ability to manage multiple projects and meet deadlines. Professional demeanor and strong client service skills. High school diploma required; additional coursework or experience in office administration or design preferred.
