Overview We are seeking a dynamic and highly organized Office Manager, Bookkeeper, and Administrator to join our team. This multifaceted role is vital in ensuring the smooth operation of daily office functions, managing financial records, and supporting administrative needs across the organization. The ideal candidate will bring energy, attention to detail, and a proactive approach to handling a diverse range of responsibilities that keep our office running efficiently and effectively. Responsibilities Oversee daily office operations, including front desk management, multi-line phone systems, and client communication to ensure a professional and welcoming environment. Manage schedule coordination for staff and executive calendars, including appointment setting, meeting arrangements, and event planning support. Handle bookkeeping tasks utilizing accounting software such as QuickBooks; maintain accurate financial records, process invoices, track expenses, and perform bank reconciliations. Administer payroll processing, human resources functions including onboarding, employee records management, and confidentiality of sensitive information. Coordinate vendor relationships by managing procurement processes, negotiating contracts, and ensuring timely delivery of supplies and services. Support budgeting activities by monitoring expenses, preparing financial reports, and assisting with financial planning efforts. Organize filing systems—both digital and physical—and maintain organized records for easy access while ensuring compliance with confidentiality standards. Assist with event planning for company meetings or community outreach initiatives; manage logistics from venue booking to material preparation. Supervise administrative staff when applicable; provide training and development opportunities to foster team growth. Qualifications Proven experience in office management or administrative roles with a strong background in bookkeeping or accounting. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data analysis and reporting. Familiarity with accounting software such as QuickBooks or other financial management tools; experience with accounting processes including payroll and budgeting. Demonstrated supervisory or team management experience; capable of leading administrative staff effectively. Excellent communication skills—both verbal and written—and strong customer service orientation. Ability to handle confidential information with discretion and professionalism. Strong organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously. Experience in event planning or vendor management is a plus; familiarity with human resources procedures is desirable. Technical proficiency in office equipment such as multi-line phones, fax machines, and document scanners; adept at troubleshooting basic technical issues.
