Job Description

Position Summary Remedia International is seeking an financially-focused, highly organized, and self-motivated professional to serve as the Northeast Regional Bookkeeper/Assistant Office Manager for our Northeast Regional Office. This person will take ownership of day-to-day bookkeeping support, sales and commission tracking, customer/vendor communication, travel coordination, employee compliance, vehicle administration, equipment records, and overall office readiness. The ideal candidate is highly attentive to priorities, acts quickly, competently and decisively. This role requires someone who can independently manage many changing priorities, protect confidential information, establish clear and reliable systems, and keep leadership informed before small issues become operational problems. Primary Responsibilities Bookkeeping and Reporting Maintain accurate day-to-day financial records and organize supporting documentation for transactions, expenses, invoices, purchase orders, and payments. Coordinate accounts payable and accounts receivable activities, including invoice tracking, payment follow-up, documentation, and communication with customers, vendors, leadership, and outside accounting professionals. Track each employee's and sales representative's sales activity, booked revenue, collected revenue, commission structure, commission status, and commission payments. Prepare clear recurring sales, commission, expense, and office financial reports for leadership review. Reconcile company credit-card activity, employee expense reports, receipts, travel charges, and vendor statements; promptly identify missing documentation or discrepancies. Maintain organized, audit-ready digital and physical financial records while protecting confidential company, customer, and employee information. Office Administration and Executive Support Serve as the administrative advocate and central support contact for the Northeast Regional Office, its employees, equipment, vehicles, and daily operational needs. Monitor and respond to customer emails professionally, route technical or commercial requests to the correct team member, and ensure every inquiry receives timely follow-up. Review shared and designated company inboxes to keep them organized, identify missed or unanswered messages, and maintain appropriate follow-up lists without altering employee communications outside approved procedures. Schedule flights, hotels, rental vehicles, meetings, site visits, and other travel logistics; maintain itineraries and supporting records. Maintain calendars, meeting schedules, office files, customer records, vendor contacts, project documents, forms, and administrative templates. Keep the office professional, orderly, clean, supplied, and ready for employees, customers, vendors, and visitors; coordinate cleaning and maintenance providers as needed. Workflow Systems and Follow Through Maintain the office's Monday.com CRM, including task assignments, due dates, status updates, dashboards, reminders, and accountability follow-up. Create repeatable checklists, trackers, filing systems, and administrative procedures that improve accuracy, visibility, and execution across the regional office. Review open tasks and commitments daily, follow up with responsible team members, and escalate overdue or highrisk items to leadership. Anticipate administrative and operational needs, independently resolve routine issues, and present leadership with concise recommendations when a decision is required. Employee Training Safety and Compliance Maintain a current roster of employee training, licenses, medical clearances, certifications, and expiration dates; schedule renewals before credentials lapse. Coordinate onboarding and maintain required employee documentation, acknowledgments, emergency contacts, and training records. Verify that each employee has the correct, serviceable PPE for assigned work and that replacement items are ordered and issued promptly. Inspect and document vehicle PPE, first-aid supplies, spill-response supplies, fire extinguishers, and emergency kits on a recurring schedule. Assist leadership and safety personnel by maintaining records and communicating deficiencies; this position supports compliance and does not replace required competent-person or safety-professional oversight. Vehicles Equipment and Facilities Maintain accurate records for company vehicles, trailers, and assigned equipment, including registrations, tags, insurance, inspections, maintenance, toll accounts, fuel cards, and renewal dates. Ensure all vehicles remain properly tagged, insured, documented, and equipped; coordinate service appointments and promptly report accidents, damage, citations, or compliance concerns. Maintain equipment assignment and inventory records, including location, responsible employee, condition, service history, and replacement needs. Coordinate office vendors, utilities, supplies, security, repairs, cleaning, and facility upkeep within approved budgets and procedures. Qualifications Demonstrated bookkeeping experience, with strong attention to reconciliations, documentation, deadlines, and financial accuracy. Proven success in administrative assistance, accounting support, office coordination, operations support, or a similarly broad role with limited day-to-day supervision. Exceptional initiative, judgment, ownership, and follow-through; able to identify the next action and move work forward independently. Strong written and verbal communication skills, including professional customer email communication and tactful internal follow-up. Advanced proficiency with spreadsheets and working knowledge of accounting software, Microsoft 365 or Google Workspace, shared drives, calendars, and digital recordkeeping. Experience with Monday.com or a comparable work-management platform is strongly preferred. Ability to manage confidential financial, customer, company and employee information with discretion. Ability to organize competing priorities in a fast-moving environmental services and field-operations environment. Valid driver's license and willingness to support occasional travel or after-hours coordination when projects require it. Preferred Experience Associate or bachelor's degree in accounting, finance, business administration, or a related field, or equivalent practical experience. Experience tracking sales commissions, supporting payroll inputs, maintaining fleet records, or coordinating employee training and certifications. Experience in environmental services, construction, industrial services, logistics, waste management, engineering, manufacturing, or another field-based operation. Success in This Role The Northeast Regional Office operates with accurate and current financial records, visible sales and commission tracking, clean customer follow-up, reliable task management, current employee credentials, complete PPE and emergency supplies, compliant vehicles, controlled equipment records, and a consistently professional office environment.
