  • Perform various administrative tasks to support the smooth operation of the office
  • Manage and maintain office supplies and inventory
  • Answer and direct phone calls, take messages, and handle inquiries in a professional manner
  • Schedule and coordinate appointments, meetings, and events (including client seminars)
  • Assist with payroll processing and maintain employee records
  • Manage vendor relationships and negotiate contracts
  • Maintain an organized and confidential filing system for documents, records, and correspondence
  • Oversee the maintenance of office equipment and coordinate repairs or replacements
  • Interact with IT, phone and maintenance personnel as needed
  • Manage the office reception and conference rooms
  • Provide office guests with a hospitable experience Qualifications
  • Proven experience as an Office Administrator or in a similar role Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively
  • Excellent communication skills, both written and verbal and proficient math ability
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Experience in training development is a plus
  • Professional appearance and demeanor
  • Punctuality and smart time management skills are a must The_ ideal candidate _ will be in charge of the organization and efficiency of daily office operations.
From scheduling client/prospect meetings, to communicating between OSJ (home office), broker/dealer and branch. You will be responsible for completing multi-level tasks in a professional and timely manner (and learn them in a relatively short time). You will also be responsible for creating, maintaining and updating the sales pipeline
