Previous experience in a Home Health Skilled Agency is required. Position Summary We are seeking a reliable, organized, and experienced Office Manager to join our Home Health Skilled Agency. The ideal candidate will have hands-on experience working in the home health industry and a strong understanding of the administrative, operational, clinical support, and documentation processes involved in managing a skilled home health office. The Office Manager will be responsible for coordinating daily office operations, supporting clinical and administrative staff, maintaining accurate patient and employee records, assisting with referrals and authorizations, communicating with patients, caregivers, clinicians, physicians, and insurance representatives, and ensuring that agency procedures are followed efficiently and professionally. Key Responsibilities Manage and coordinate the day-to-day operations of the home health office. Assist with patient intake, referrals, admissions, scheduling, and coordination of services. Communicate professionally with patients, families, physicians, case managers, insurance companies, and referral sources. Coordinate with nurses, therapists, HHAs, and other clinical staff regarding patient schedules and service needs. Maintain accurate and organized patient and employee records. Assist with obtaining and tracking authorizations and ensuring services are properly scheduled. Monitor documentation and follow up with staff regarding missing or incomplete records. Assist with billing-related administrative tasks, claims documentation, and communication with insurance portals when necessary. Assist with credentialing, staff onboarding, compliance documentation, and employee files. Maintain confidentiality and comply with HIPAA and applicable home health regulations. Monitor office supplies, administrative processes, and general office organization. Respond to telephone calls, emails, and other communications in a timely and professional manner. Assist the Administrator and Director of Nursing with administrative and operational duties. Support quality assurance and compliance activities within the agency. Maintain professional relationships with referral sources, patients, caregivers, and staff. Perform other administrative duties as needed to support the agency's operations. Qualifications Previous experience working in a Home Health Skilled Agency is required. Bilingual in English and Spanish required. Strong knowledge of home health office operations and administrative processes. Experience with patient referrals, scheduling, authorizations, documentation, and insurance communication. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to multitask and work effectively in a fast-paced environment. Proficiency with computers, email, Microsoft Office, and electronic healthcare systems. Ability to maintain confidentiality and handle sensitive patient information appropriately. Professional, dependable, detail-oriented, and team-oriented. Ability to work independently while also collaborating effectively with clinical and administrative staff. Preferred Qualifications Experience with home health EMR systems. Experience with insurance portals and authorization processes. Knowledge of Medicare, Medicaid, managed care, and commercial insurance processes. Experience with billing or claims-related administrative tasks. Knowledge of AHCA, CMS, HIPAA, and home health compliance requirements.
