Job Description

J&R Restoration is seeking a highly organized and detail-oriented Office Administrator to support our fast-paced restoration and construction operations. This role is critical to ensuring smooth day-to-day office functions, excellent client communication, and accurate administrative coordination across projects. The ideal candidate is experienced in the restoration and/or construction industry, confident handling high call volume, and professional and polished when communicating with clients, vendors, and internal team members. Key Responsibilities Call Management & Client Intake Answer high-volume incoming calls professionally and efficiently Conduct initial client intake and gather detailed job information Route calls and information to appropriate team members Scheduling & Coordination Schedule appointments, site visits, and service calls with clients and vendors Coordinate calendars for field teams and project managers Confirm appointments and communicate updates in real time Client Communication & Follow-Up Follow up with clients regarding project scopes, approvals, and next steps Maintain consistent communication to ensure a high level of customer satisfaction Serve as a reliable point of contact throughout the project lifecycle Billing & Collections Assist with invoicing and ensure accuracy of billing information Collect deposits and final payments from clients Track outstanding balances and follow up as needed Administrative Support Maintain organized digital and physical filing systems Process and file job-related documents, contracts, and paperwork Support internal team with administrative tasks as needed Qualifications Prior experience in restoration, construction, or related field (required) Proven ability to manage high-volume calls and a fast-paced environment Strong communication skills; professional and well-spoken on the phone Excellent organizational and multitasking abilities Experience with invoicing, collections, and administrative workflows Proficiency in CRM systems and/or job management software (preferred) Detail-oriented with strong follow-through What We're Looking For Someone who thrives under pressure and can keep the office running smoothly A proactive team player who takes ownership of tasks Strong customer service mindset with a "get it done" attitude Ability to prioritize and adapt in a high-demand environment
