Prestige Development Group is a growing Southwest Florida construction and development company specializing in concrete restoration, luxury renovations, impact windows and doors, structural repairs, waterproofing, post-tension services, roofing systems, restoration, and commercial build-outs. We are looking for an organized, dependable, and highly capable Office & Operations Manager to oversee the administrative and operational functions that keep our company running smoothly. This is a hands-on position for someone comfortable wearing multiple hats, working closely with ownership and the field team, and taking responsibility for getting things done accurately and on time. The ideal candidate has experience in construction administration, permitting, payroll, scheduling, office operations, or a similar environment.
Key Responsibilities:
Permitting & Construction Administration Coordinate and assist with the permitting process for residential and commercial construction projects. Prepare, organize, submit, and track permit applications and supporting documentation. Communicate with municipalities, building departments, inspectors, subcontractors, and other parties regarding permit requirements and status. Track permit approvals, inspections, corrections, and closeouts. Maintain organized records of permits, project documentation, licenses, insurance certificates, and other required paperwork. Help ensure projects remain compliant with applicable administrative and permitting requirements. Payroll & Employee Administration Assist with weekly payroll processing and maintain accurate employee records. Track employee hours, timecards, PTO, and other payroll-related information. Coordinate employee onboarding and offboarding paperwork. Maintain personnel files and company documentation. Assist with benefits administration and employee-related administrative tasks. Work closely with ownership and accounting to ensure payroll and employee information is accurate and up to date. Project & Office Operations Help coordinate the administrative side of active construction projects from contract through completion. Maintain accurate project information and documentation within PDG's systems. Assist with scheduling, inspections, project updates, and communication between the office and field teams. Track important project dates, deadlines, inspections, permits, and required documentation. Help keep project files, contracts, change orders, invoices, and other documentation organized. Support project managers, sales staff, estimators, and ownership with administrative and operational needs. Identify administrative issues before they become problems and proactively follow up to keep projects moving. Scheduling & Coordination Coordinate meetings, inspections, appointments, and other company activities. Assist with scheduling field personnel, vendors, inspectors, and other project-related parties. Maintain company calendars and ensure important deadlines and appointments are communicated to the appropriate team members. Help coordinate changes to project schedules and communicate updates internally. General Business Administration Serve as a central point of contact for many day-to-day administrative matters. Manage incoming documentation, correspondence, records, and company files. Assist with vendor coordination, insurance documentation, licensing, renewals, and other administrative requirements. Help maintain company accounts, subscriptions, office systems, and administrative records. Assist ownership with special projects and operational initiatives as the company continues to grow. Maintain confidentiality when handling payroll, employee, financial, and company information. Take on additional responsibilities as needed to support the overall operation of PDG. What We're Looking For 3+ years of experience in office management, construction administration, project administration, operations, or a related field. Construction industry experience is strongly preferred. Experience with permitting and working with local municipalities is highly preferred. Experience with payroll and employee administration. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and ability to maintain accurate records. Comfortable managing multiple priorities and deadlines at the same time. Ability to work independently and take ownership of responsibilities. Professional, dependable, and proactive attitude. Comfortable communicating with contractors, vendors, inspectors, employees, clients, and government offices. Proficiency with Microsoft Office and Google Workspace. Experience with construction management software such as Buildertrend is a plus. Ability to learn new software and systems quickly. Compensation $65,000 per year PTO available Full-time, in-office position in Southwest Florida. Why Join PDG?
