Operations Manager / Executive Team About Us We are a well-established engineering company based in Boynton Beach. We are seeking a dependable, proactive, and detail-oriented professional to assist in managing our daily office operations and accounting department. This role offers exposure to multiple aspects of the business. Position Summary This position will be responsible for balancing general office administration with a strong focus on bookkeeping, accounts handling, and collections. The ideal candidate will have prior experience managing office workflows, supporting accounting systems, and executing professional client outreach. Key Responsibilities Accounting, Payroll & Collections Assist in managing accounts receivable and accounts payable processes, including invoicing, billing, and expense tracking. Execute consistent and professional collections follow-up on past-due accounts. Reconcile customer accounts, check statements, and resolve billing discrepancies. Record financial transactions and assist with core payroll support. Maintain accurate, up-to-date digital and physical financial records. Office Administration Handle daily office scheduling, calendar coordination, and meeting logistics. Assist in answering, screening, and directing incoming phone calls in a professional manner. Manage internal communications and facilitate coordination between different departments. Maintain organized filing systems for both business and financial documentation. Complete accurate data entry, prepare regular reports, and assist with general office tasks. Identify opportunities to streamline and improve daily administrative workflows. Qualifications Proven experience in administrative support, and AP/AR representative role. Strong baseline understanding of basic accounting principles and strong collections skills. QuickBooks accounting software experience is required. Proficiency in the Microsoft Office Suite, with an emphasis on Excel and Word. Microsoft Access experience is considered a strong plus. Engineering, construction, or project-based accounting experience is a plus. Exceptional organizational skills, sharp attention to detail, and accuracy. Strong written and verbal communication skills with a customer-service mindset. Ability to multitask, meet deadlines, and work effectively both independently and within a team.
