Job Description

Job Summary This position is responsible for providing comprehensive administrative support to the Next STEPS Program while managing the daily operations of the administrative office. The role serves as the primary point of contact for visitors, staff, and community partners and is responsible for office management, data tracking, reporting, inventory control, client record maintenance, scheduling, and administrative coordination. The position supports program compliance and reporting requirements while ensuring the efficient operation of the front office and administrative functions. Essential Job Functions Program Administration Provide administrative support to the Next STEPS Department. Assist with completing monthly department reports and outcomes. Track, monitor, and report confidential client data. Enter and maintain client information within databases. Maintain and update all Next STEPS master lists and reports. Assist with the maintenance and organization of case files. Coordinate intake interviews and establish client files. Complete required documentation and forms. Collect, coordinate, and track educational and school-related information. Monitor and maintain program inventory for young adults. Assist with ongoing clerical and administrative functions to support program operations. Office Management Manage the day-to-day operations of the administrative office. Serve as the primary receptionist by greeting visitors and directing them appropriately. Answer and route incoming phone calls. Manage incoming and outgoing mail. Schedule and coordinate use of conference rooms and community center facilities. Maintain the cleanliness and organization of common office areas, including the reception area and kitchen. Monitor and maintain office supply inventory. Order office supplies as needed. Assist staff with copying, scanning, printing, and filing. Provide administrative support to staff within the administrative building. Assist with the coordination and oversight of the in-kind donation process. Assist the Finance Department with filing and administrative projects as needed. General Responsibilities Maintain confidentiality of client, employee, and organizational information. Ensure accuracy and timeliness of reports, records, and documentation. Collaborate with program and administrative staff to support organizational objectives. Perform other duties as assigned. Minimum Education and Experience Requirements Associate degree required; Bachelor's degree in Human Services, Business Administration, Public Administration, or a related field preferred. Minimum of two years of administrative, office management, program support, or related experience preferred. Experience working with databases, reports, and confidential information preferred. Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams. Valid Florida driver's license and proof of insurance required.
