About the role We are looking for an Office Manager to be the operational backbone of our Miami office. This is a highly visible position: you are the first person clients, investors, and partners meet when they walk through the door, and the person the rest of the team relies on to keep the day running smoothly. The right candidate is unusually organized, anticipates needs before they are raised, and takes pride in an office that is well-stocked, well-run, and presentable at all times. You should be comfortable moving between administrative detail work and hosting guests with warmth and professionalism. What you'll do Office operations Keep the office running day to day — supplies stocked, equipment working, common areas clean and presentable Serve as the point of contact for building management, cleaning crews, IT support, and other vendors Track and resolve maintenance issues before they disrupt the team Maintain office records, files, and shared documentation in an organized, retrievable system Scheduling and meetings Build and maintain calendars and agendas for internal and external meetings Prepare meeting rooms in advance — materials, refreshments, AV setup Take accurate minutes, capture action items and owners, and circulate follow-ups promptly Track open items between meetings so nothing falls through the cracks Purchasing and vendor management Order office supplies, kitchen and coffee inventory, furniture, and equipment Source quotes, compare vendors, and keep spending within budget Process invoices, maintain purchase records, and coordinate with Finance on expenses and reconciliations Client and guest experience Greet clients, investors, and visitors and make them comfortable on arrival Prepare and serve coffee, water, and refreshments for guests and meetings Manage incoming calls, mail, and deliveries Coordinate catering and logistics for meetings, closings, and office events Team support Assist with travel bookings, expense reports, and calendar coordination for leadership Support onboarding logistics for new hires — desk, equipment, access, supplies Take on ad hoc administrative projects as the business requires What we're looking for 2+ years in an office management, executive assistant, or senior administrative role Demonstrated ability to juggle competing priorities without losing track of details Strong written and verbal communication; comfortable drafting minutes and correspondence Proficiency with Microsoft Office and Google Workspace, including calendar management Professional, polished presence with clients and senior stakeholders Discretion with confidential financial and business information Reliable, punctual, and self-directed — able to run the office without daily instruction Bilingual English/Spanish Nice to have Experience in real estate, construction, professional services, or financial services Familiarity with basic bookkeeping, expense platforms, or invoice processing Notary commission or willingness to obtain one Why join us Urban Network Capital Group is a real estate development firm with an active pipeline across several U.S. markets, and we are growing quickly.
