Office Manager Acosta & Associates, P.A. - 3.5 Coral Gables, FL Job Details Full-time From $45,000 a year 18 hours ago Benefits Health insurance Paid time off Retirement plan Qualifications English Microsoft Office High school diploma or GED Full Job Description Acosta & Associates, P.A. is seeking a full-time Office Manager to lead the day-to-day operations of our multi-attorney law firm. This is a key role responsible for keeping the firm running smoothly across billing, finance, HR, facilities, and administration. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced legal environment. Prior experience in a management role, especially within the legal field, is preferred. Hours are 8:30 AM to 5:00 PM, and compensation is based on experience.
What You'll Bring:

Microsoft Office and Google Suite Operations and Administration:
Direct day-to-day business operations across finance, HR, facilities, and administrative functions Lead recruiting, hiring, onboarding, training, and supervision of administrative personnel Administer HR through a third-party provider, including payroll, benefits, compliance, and personnel records Develop SOPs, office policies, and workflows that improve productivity and accountability Manage vendor contracts, procurement, maintenance, and facility operations Partner with firm leadership on budgeting, staffing, and strategic operational improvements
Billing and Financial Management:
Manage the full billing cycle, including attorney time entry, pre-bill review, and generating and editing client invoices Handle LEDES files, upload invoices to client billing portals, and apply billing policies and client guidelines Create, edit, and submit billing appeals, and manage special billing projects as requested Oversee AP, AR, bookkeeping, expense management, trust accounting support, and monthly financial reporting
Preferred Qualifications:
Experience with legal billing or code entry Bookkeeping experience General office/administrative experience Law firm experience is preferred, but not required We are only accepting full-time applicants.
