This role involves managing client and phone communications, assisting with document processing, and ensuring smooth office functions. The ideal candidate will be highly organized, computer literate, and experienced in office management tasks, including proficiency in Microsoft Office and QuickBooks. This position offers an excellent opportunity to contribute to a professional team while developing valuable administrative skills. Responsibilities Utilize QuickBooks for basic accounting tasks such as invoicing, sales and purchases orders and financial record keeping. Manage daily communications, draft documents, and organize data using Microsoft Office (Outlook, Word, and Excel). Coordinate and schedule outbound shipping for regular packagers and freight pallets using different carrier websites and logistics portals. Handle client communication promptly and professionally to ensure excellent customer service. Manage incoming and outgoing phone calls, directing inquiries appropriately and maintaining clear communication channels. Perform word processing tasks, including preparing reports, correspondence, and other documents with accuracy and attention to detail. Maintain and update spreadsheets to track various office activities, client information, or project data efficiently. Assist with general office duties to support the team's productivity and organization. Ensure the office environment remains organized and efficient by supporting administrative workflows. Experience Previous experience working in an office setting is preferred. Proven proficiency with Microsoft Office applications is required. Experience with QuickBooks or similar accounting software is highly desirable. Strong communication skills—both written and verbal—are essential for effective client and phone interactions. Demonstrated ability to manage multiple tasks simultaneously while maintaining attention to detail. This position is a paid role suitable for individuals seeking to develop or expand their administrative expertise within a professional setting.
