Job Description

Office Manager Job Description Position Summary The Office Manager reports directly to the Pastor and is responsible for overseeing the daily operations of the church office. This role supports the ministry of the church through administrative leadership, communication, reception, scheduling, building-use coordination, recordkeeping, and direct support to the Pastor and staff. The Office Manager serves as a trusted representative of the church and must handle all sensitive information, church records, staff communications, and visitor-related matters with the highest level of confidentiality and discretion. Key Responsibilities Manage daily church office operations, including reception, telephone coverage, purchasing, payroll coordination, accounts payable support, and general administrative workflow. Prepare and distribute church communications, including correspondence, newsletters, weekly bulletins, announcements, and electronic communications. Support the Pastor by maintaining calendars, coordinating appointments, preparing materials, and providing administrative assistance as needed. Partner with the Pastor and staff to prepare presentations, spreadsheets, reports, and other technology-supported materials that strengthen church administration and ministry operations. Maintain and update church management systems, including membership, volunteer, giving, attendance, and reporting databases such as Church360. Design efficient office work processes and coordinate volunteers assisting with administrative responsibilities. Work with the Church Treasurer to collect, record, and process contributions, including worship-service offerings, memorials, honorariums, special designations, online donations, pledges, and cash gifts. Prepare quarterly and year-end charitable-giving statements and ensure annual statements are mailed within 30 days after year-end. Compile financial information for the Budget and Finance Committee, Treasurer, and committee chairs; prepare and monitor the annual office budget. Communicate special ministry needs, such as illness, death, or urgent pastoral-care concerns, to appropriate church leadership in a timely manner. Coordinate with the Trustees Committee to direct and supervise custodial staff and help ensure church facilities are clean, safe, and presentable for church and community use. Monitor inventory and assist with ordering custodial supplies, classroom materials, study books, office supplies, and equipment-related resources. Monitor office equipment, including phones, copiers, scanners, alarm systems, and desktop or laptop computers; coordinate service, supplies, and service contracts as needed. Maintain the Pastor's calendar and church calendar; schedule classrooms and facilities for church committees and outside groups; coordinate logistical needs such as tables, chairs, and audiovisual equipment. Update church electronic displays with current announcements, events, and other timely information. Manage the building key and access-code program, ensuring accurate records for all church door keys and security codes. Maintain personnel and hiring files in coordination with appropriate church leadership and serve as custodian of official church documents. Maintain records for Annual Charge Conference, prepare the Charge Conference booklet, and serve as Church Secretary at the Annual Charge Conference. Attend staff meetings and congregation-wide meetings as required. Perform special projects and other duties as assigned by the Pastor. Minimum Qualifications Bachelor's degree preferred, or equivalent combination of education and relevant work experience. Three to five years of office management or administrative experience strongly preferred. Friendly, caring, professional demeanor and commitment to supporting the mission and ministry of the church. Demonstrated ability to maintain strict confidentiality and exercise sound judgment. Proficiency with Microsoft Office Suite, church management software, word processing, database or CRM applications, spreadsheets, and other office technology. Strong organizational, communication, leadership, and problem-solving skills. Ability to work independently while collaborating effectively with staff, volunteers, church leaders, congregants, and community members. Ability to think strategically and tactically about day-to-day office operations and continuous process improvement. Working Conditions The position is primarily performed in an office setting, with most duties completed at a desk. The role requires regular use of standard office equipment, including computers, phones, copiers, scanners, and related technology. Physical Requirements Ability to lift up to 35 pounds, such as when receiving shipments or moving supplies. No other extreme physical demands are required. Decision-Making and Discretion The Office Manager works under the general supervision of the Pastor, who provides overall direction and guidance. The Office Manager is expected to exercise a high degree of independence in daily activities and is responsible for promoting an efficient, safe, secure, and productive church office environment. The Pastor should be consulted on matters involving scheduling conflicts, sensitive information, controversy, or significant operational decisions.
