Full Job Description Position:
Office Manager -
Insurance Agency Objective:
Ensure the agency operates efficiently, clients are serviced at a high level, and internal processes support growth, retention, and profitability.
Key Responsibilities:
1. Operations Management Oversee daily agency operations and workflows Ensure all policies, endorsements, and certificates are processed accurately and on time Maintain organization in the agency management system (e.g., Applied Epic, AMS360) 2. Client Service Oversight Supervise service team (CSRs/account managers) Ensure fast response times and high-quality service Manage renewals proactively to maximize retention Handle escalated client issues professionally 3. Team Leadership Train, coach, and manage administrative/service staff Assign workloads and enforce accountability Maintain consistent procedures across the team 4. Sales Support Track leads and follow-ups to ensure no opportunity is lost Assist in preparing proposals and client presentations Ensure quotes are delivered quickly and accurately 5. Compliance & Documentation Maintain complete and accurate client files Ensure adherence to E&O standards and regulatory requirements Keep agency audit-ready at all times 6. Billing & Policy Administration Handle billing inquiries and carrier communications Monitor cancellations, reinstatements, and payment issues 7. Process Improvement Develop and implement standard operating procedures (SOPs) Identify inefficiencies and recommend improvements
Qualifications:
Experience in an insurance agency (preferred) Strong organizational and leadership skills Familiarity with agency management systems Ability to manage multiple priorities under pressure Success in
