This role is vital in managing administrative tasks, coordinating schedules, supervising team members, and maintaining effective communication across departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and experience in office management to support our team's success. Duties Manage and coordinate daily office activities, including front desk operations and multi-line phone systems to ensure seamless communication. Oversee schedule management for staff, meetings, appointments, and events, ensuring optimal time utilization. Supervise administrative staff and provide training & development to foster a high-performing team environment. Handle vendor management by coordinating with suppliers, service providers, and contractors to maintain operational efficiency. Maintain accurate bookkeeping, payroll processing, budgeting, and financial record-keeping using QuickBooks or similar accounting software. Organize and manage filing systems, medical office documentation (if applicable), and other clerical records with precision. Support human resources functions such as onboarding new employees, managing employee records, and assisting with HR compliance. Assist in event planning for company functions or community outreach initiatives to promote engagement. Ensure effective communication across all levels of the organization through clear written and verbal interactions. Manage calendar scheduling for executives or department heads to optimize productivity. Experience Proven experience in office management or administrative roles within a professional setting. Supervising experience with the ability to lead and develop team members effectively. Proficiency in QuickBooks for bookkeeping, payroll, and budgeting tasks. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Experience with event planning, vendor management, and human resources processes preferred. Familiarity with medical office management or healthcare administration is a plus but not required. Excellent communication skills coupled with professional phone etiquette and customer service orientation. Demonstrated ability to handle clerical duties such as filing, calendar management, and front desk responsibilities confidently.
