Our main services include kitchen remodeling, bathroom remodeling, full home remodeling, home additions, commercial remodeling, and general construction. Role Summary The Office Manager is the operational hub between customers, crews, and leadership. Your main goal is keeping the calendar full and the jobs moving: booking consultations and estimates, dispatching crews and subcontractors, turning site notes into clear quotes, and getting invoices out and paid on time. You will own the in house CRM as the single source of truth for every lead, job, and payment. You will also handle the general administrative work that keeps a busy remodeling company organized. The role starts fully remote and will transition to the Hollywood, FL office once the in office phase begins. Key Responsibilities Appointment Setting (Primary Focus) Answer inbound calls, web form leads, and messages quickly and professionally Qualify new leads by project type, scope, location, budget, and timeline Book free consultations and on site estimates on the project manager's calendar Confirm appointments by call or text 24 hours ahead and reschedule no shows Follow up with past estimates and cold leads to convert them into signed jobs Dispatch and Scheduling Build and maintain the daily and weekly schedule for crews and subcontractors Dispatch the right team to each job with addresses, scope, and material notes Coordinate material deliveries, inspections, and permit appointments Handle schedule changes caused by weather, material delays, or emergencies Keep homeowners updated on start dates, progress, and any changes Quotes and Estimates Turn project manager site notes and measurements into clean, professional quotes Price line items using company pricing sheets and supplier quotes Send quotes to clients, track status, and follow up until approved or closed Prepare change orders when scope changes during a project Invoicing and Payments Create and send deposit, progress, and final invoices tied to project milestones Track payments received and follow up on past due balances Collect and file subcontractor invoices, lien waivers, and insurance certificates Prepare simple weekly reports on billing, collections, and open balances In House CRM Management Enter and update every lead, client, job, and payment in the CRM Move jobs through pipeline stages from lead to estimate to active to complete Keep contact records, notes, photos, and documents clean and current Pull reports on lead sources, close rates, and job status for leadership Administrative Assistance Manage the company inbox, voicemail, and document filing Track permits, licenses, insurance renewals, and vendor accounts Request and organize Google reviews after completed projects Order office supplies and support the owner with special projects as needed Required Qualifications 4+ years of office, dispatch, or admin experience in construction, remodeling, or home services Working knowledge of remodeling terms, job phases, permits, and material lead times Proven experience setting appointments and following up on leads by phone and text Experience creating quotes or estimates and sending invoices Comfortable managing a CRM and keeping records accurate every day Strong phone presence with clear, friendly, professional communication Highly organized, able to juggle multiple crews, jobs, and deadlines at once Reliable home office setup with high speed internet for the remote phase Able to commute to Hollywood, FL once the role moves in office Preferred Skills and Tools Bilingual English and Spanish, a strong advantage for South Florida clients and crews Experience with contractor software such as Jobber, Housecall Pro, ServiceTitan, JobNimbus, or Buildertrend QuickBooks or similar accounting software Google Workspace or Microsoft Office, especially Calendar, Sheets, and Excel Familiarity with permit portals in Broward and Miami Dade Counties Experience managing lead sources such as
Google, Thumbtack, Angi, HomeAdvisor, and Yelp Schedule and Compensation Schedule:
