The Office Manager keeps the office running smoothly for families, clinicians, and the Operations Team, and owns the authorization process end to end. You will oversee the management of medical authorizations, insurance verifications, and patient records, ensuring seamless communication between providers, insurance companies, clients and parents. Key responsibilities Authorization verification and submission (required core skill) keep the office running smoothly for families, clinicians, and the Operations Team, and owns the authorization process end to end Verify insurance eligibility and benefits for new and existing clients at both locations (Florida and Georgia Medicaid plans, managed care organizations, and commercial payers). Confirm an active authorization exists for the client, service code (97151-97158), provider type, units, frequency, and date range before any session is placed on the schedule and keep authorization records current in EMR. Prepare and submit initial authorization and re-authorization requests, gathering assessments, treatment plans, progress reports, and referrals from the clinical team by payer deadlines. Track submission status, follow up with payers, and resolve pending, denied, or incomplete requests. Office management Serve as the primary point of contact for families, staff, and visitors at the front office; answer phones, manage the office email inbox, and route scheduling updates to the Operations Team. Coordinate client intake and onboarding paperwork, consents, and insurance information for new clients. Maintain client and personnel files in an organized, audit-ready, HIPAA-compliant manner. Manage office supplies, equipment, vendors, and facility needs for both locations; keep common areas and materials stocked and in order. Assist with onboarding new hires, including handbook and policy acknowledgments. Qualifications Required High school diploma or equivalent. 2+ years of experience in insurance authorization, medical billing, or healthcare office administration. Demonstrated experience submitting and tracking Medicaid and commercial insurance authorizations. 1+ years of office management, front-desk, or administrative coordination experience in a healthcare setting. Strong organization, attention to detail, and follow-through on deadlines across multiple priorities. Clear, professional written and verbal communication with families, payers, clinicians, and staff. Proficiency with an electronic health record and Microsoft 365 (Outlook, Excel, Word, SharePoint). Ability to handle confidential information and comply with HIPAA. Must pass a background check. Preferred Experience with ABA authorizations (CPT codes 97151-97158) and the BACB supervision model. Familiarity with Florida and/or Georgia Medicaid and their managed care plans. Familiarity with Availity and other payer portals for eligibility checks and authorization submissions. Experience with RethinkBH or a similar ABA practice-management platform. Associate or bachelor's degree in healthcare administration, business, or a related field.
