WHAT YOU WILL OWN

DAY-TO-DAY OPERATIONS LEADERSHIP

Run the full operational rhythm of the office: scheduling, workflows, vendor coordination, and project tracking Manage and continuously improve internal systems so the team can focus on delivering exceptional client experiences Own the client communication pipeline from the first incoming call through final project handover — every touchpoint must reflect the Palm House standard Coordinate with project managers, designers, and subcontractors to ensure nothing falls through the cracks

RELATIONSHIP STEWARDSHIP

Serve as a key relationship point for our network of architects, interior designers, property managers, and realtors Ensure referral partners receive timely, professional, and genuinely personal follow-through Represent Palm House's values in every interaction — warm, competent, and trustworthy

FINANCIAL AND ADMINISTRATIVE OVERSIGHT

Manage invoicing, accounts receivable, vendor payments, and project cost tracking Maintain accurate project files, contracts, permits, and compliance documentation Support leadership with reporting, forecasting, and operational budget management ───────────────────────────────────────────────────────────

WHAT WE ARE LOOKING FOR

─────────────────────────────────────────────────────────── 3+ years of experience in office management, operations, or executive support — design-build or construction background strongly preferred but not required Exceptional organizational skills — you love a clean system and build better ones when you find a gap A communicator equally at ease with a high-end architect and a tile subcontractor Proficiency in project management tools, CRM platforms, and basic accounting software; QuickBooks familiarity is a plus Calm under pressure — design-build is dynamic and you are the steady center of it Local to Jupiter / Palm Beach County A note on experience: We are absolutely willing to train the right person. If you do not check every box but you bring the right character, the right work ethic, and a genuine desire to grow — we want to hear from you. Skills can be taught.
