Main Job Tasks, Duties and Responsibilities:
  • Present treatment plans to patients in a clear, organized, and professional manner. Review the recommended treatment, sequence of treatment, estimated timeline, associated fees, and financial responsibilities with the patient. Ensure the patient understands the proposed treatment and has an opportunity to ask questions before moving forward.
  • Verify and analyze dental insurance benefits to assist with accurate treatment planning and financial presentations. This includes linking insurance plans to the appropriate coverage books, reviewing plan limitations and exclusions, and understanding the patient's available benefits.
  • Effectively utilize insurance portals to verify patient benefits, including annual maximums, deductibles, remaining benefits, frequency limitations, waiting periods, coverage percentages, and other applicable plan provisions.
  • Explain insurance benefits and financial estimates to patients in a clear and understandable manner. Be able to answer questions regarding what insurance is expected to cover, what portion may remain the patient's responsibility, and how insurance benefits apply to the different phases of treatment.
  • Coordinate insurance information with treatment plans so that patients receive a comprehensive presentation of both their recommended clinical treatment and the anticipated financial commitment before treatment is scheduled.
  • Maintain and manage a "Book of Business" — an Excel-based tracking system used to monitor treatment plans, treatment acceptance rates, pending treatment, and outstanding opportunities. Review and update the Book of Business several hours each week and submit it to Alejandro and Dr. Maya for review and production planning.
  • Monitor and oversee the daily schedule to help ensure production goals and quotas are being met. Review upcoming appointments and patient treatment to identify opportunities to maximize production while ensuring that all necessary materials, including laboratory cases and other treatment-related items, are available prior to the patient's appointment.
  • Serve as the primary patient liaison for active treatment. Answer incoming patient calls and assist patients with questions regarding their ongoing treatment, appointments, treatment phases, and next steps, providing continuity between the patient and the clinical team.
  • Explain treatment phases and financial responsibilities to patients, including the timing and payment requirements associated with each phase of treatment. Use treatment plans and available insurance information to help patients understand estimated insurance benefits, patient portions, and financial expectations.
  • Perform patient check-in and check-out , including collecting patient payments through the Clover payment terminal and ensuring that financial transactions are properly completed.
  • Conduct the new-patient office introduction. Welcome and orient new patients to the practice, explain how the office operates, introduce them to the practice and clinical team, and establish a strong relationship from their first interaction with the office. The goal is to serve as a consistent point of contact and liaison throughout the patient's experience.
  • Participate in emergency and new-patient examinations with Dr. Maya. Be present with Dr. Maya, the assistant, and the patient during examinations in order to listen to and understand the doctor's diagnosis, recommendations, treatment options, and proposed treatment sequence.
  • Develop comprehensive knowledge of each patient's treatment plan.
By participating in examinations and understanding the clinical recommendations firsthand, the Treatment Coordinator should be able to answer patient questions after the examination, explain the recommended treatment accurately, and provide continuity without requiring Dr. Maya to repeatedly leave other responsibilities to answer questions or repeat information already discussed.
  • Coordinate clinical and administrative information between the doctor, assistants, front office, laboratories, and patients to ensure that treatment progresses efficiently and that the patient has a clear understanding of what is happening at every stage.
The primary purpose of this role is to bridge the gap between the clinical team, the front office, and the patient . The individual should have a thorough understanding of each patient's diagnosis, treatment plan, financial obligations, and treatment progression so they can effectively guide the patient from the initial examination through completion of treatment. The position is not simply a front-desk or scheduling role. It requires active involvement in the clinical examination process, strong knowledge of the practice's treatment procedures, financial understanding, patient communication skills, and the ability to identify opportunities to improve treatment acceptance and practice production. What We're Looking For 3+ years of dental office management experience (multi-specialty experience is a plus). Strong leadership skills with the ability to motivate, coach, and hold employees accountable. Excellent communication and organizational skills. Ability to multitask and prioritize in a fast-paced environment. Experience reading and understanding dental practice reports and key performance metrics. Knowledge of dental insurance workflows, treatment planning, and practice management software (Patterson Eaglesoft experience is a plus). Bilingual (English/Spanish) is required.
