Office Manager - Medical Practice BioHealth Wellness Kissimmee, FL About the Role BioHealth Wellness is seeking a highly organized, accountable, and proactive Office Manager to oversee the day-to-day operations of our Kissimmee medical office. This is not simply a front-desk or administrative position. We are looking for a leader who can take ownership of the office, coordinate multiple departments, hold team members accountable, identify problems before they become bigger problems, and make sure patients move through our office smoothly and professionally. The right person should be able to walk into the office each morning, understand exactly what needs to happen that day, identify anything that could disrupt patient care or operations, and make sure the team executes. You will work closely with Patient Care Coordination, Case Management, clinical providers, and leadership. What You Will Own You will be responsible for the overall operational performance of the office, including: Leading and coordinating daily office operations Conducting or overseeing the morning team huddle Ensuring the office and treatment schedule are prepared each day Monitoring patient scheduling, confirmations, arrivals, and treatment flow Identifying scheduling conflicts and resolving operational problems Monitoring patient wait times and preventing unnecessary delays Ensuring patient charts, documentation, consents, and administrative requirements are completed before treatment Coordinating treatment-day readiness with clinical and administrative teams Monitoring staff attendance, punctuality, productivity, and professionalism Holding employees accountable to established policies and SOPs Coaching team members when minor performance issues arise Escalating significant or repeated performance issues to leadership Coordinating with Case Management and Patient Care Coordination Tracking office performance metrics and reporting operational issues Managing office supplies, equipment, facility needs, and inventory readiness Addressing patient service concerns quickly and professionally Identifying recurring operational problems and improving the underlying process Helping maintain a calm, organized, positive, and professional office environment What Success Looks Like A successful Office Operations Manager creates an office where: Patients are prepared before arriving The schedule runs on time Staff know exactly what is expected of them Problems are identified early Routine issues are solved without requiring executive involvement SOPs are consistently followed Patient wait times are minimized Treatment-day surprises are rare Employees are held accountable Leadership has clear visibility into office performance What We Are Looking For Our ideal candidate has: 3+ years of medical office, healthcare operations, or practice-management experience Previous experience supervising employees Strong leadership and accountability skills Exceptional organizational ability Excellent communication skills Strong problem-solving and decision-making ability Experience managing scheduling and patient flow Ability to manage multiple priorities in a fast-moving environment Strong attention to detail Comfort working with performance metrics and operational reports Experience implementing and enforcing SOPs Strong computer and technology skills A patient-first service mindset The ability to remain calm and decisive under pressure Experience in a medical practice, specialty clinic, orthopedic practice, regenerative medicine practice, chiropractic office, physical medicine practice, or similar healthcare environment is strongly preferred. Pay:
$42,000.00 - $50,000.00 per year Application Question(s): How many years of experience do you have managing or supervising operations in a medical, healthcare, chiropractic, orthopedic, or similar patient-care office? How many employees have you directly supervised at one time? Are you currently employed? In your most recent management role, were you personally responsible for holding staff accountable, resolving scheduling or patient-flow problems, and making day-to-day operational decisions without waiting for senior management? A staff member repeatedly fails to complete an important task despite being trained and reminded. What would you do first? a. Complete the task myself so the office keeps moving b. Remind them again and give them more time c. Address the performance issue directly, determine the cause, establish a clear expectation and deadline, and document/follow up d. Immediately send the issue to senior management e. Avoid confronting them unless the problem becomes serious
