POSITION TITLE

Office Manager

REPORTS TO

: Director of People & Resources and assists the Executive team (CEO, COO, CAO & CFO) with tasks as well.

PURPOSE :

This position will be responsible for the daily management of business and office operations, project management, executive assistance, and representing Habitat for Humanity of Greater Palm Beach County, Inc., in a professional way true to our mission. Our affiliate is working to evolve and update policies and procedures so the correct person for this position will be a natural problem solver and have the ability to easily adapt to change. This position is part of the HR department so there will be some HR tasks assigned as well. The ideal candidate has a mastery of Microsoft suite and computer skills, a history of office management, a high attention to detail, and an ability to prioritize multiple tasks as they are assigned. This candidate also needs to be able to take tasks as they are assigned and work independently to reach the desired result.

KEY RESPONSIBILITIES

Supports company operations by maintaining office systems and supervising staff. Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing, and approving supply requisitions, and assigning and monitoring clerical functions. Runs audio/visual equipment for all Board Meetings, finance meetings, team meetings, etc. Plans and runs quarterly All-Staff meetings, including the annual Christmas Party. Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments. Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends. Manages vehicle fleet and facilities management for all affiliate owned/leased locations. Plan and complete the exit of an office building in Delray Beach. Implements and faithfully executes all policies, plans, and procedures adopted by the Board of Directors and directions given by the Chief Executive Officer and Chief Operating Officer. REQUIRED LICENSE OR CERTIFICATION
