Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and exceptional organizational skills will support various administrative functions, enhance customer service experiences, and foster a productive work environment. The ideal candidate is proactive, detail-oriented, and possesses excellent communication skills—bilingual abilities are a plus! This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant team atmosphere. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Maintain organized filing systems, both physical and digital, including data entry and document proofreading Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for correspondence, scheduling, and record-keeping Oversee calendar management for appointments, meetings, and deadlines using electronic scheduling tools Perform clerical tasks such as photocopying, scanning, mailing, and inventory management of office supplies Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone or email Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Support office management activities including organizing events, coordinating maintenance requests, and ensuring a tidy workspace Handle confidential information with discretion while maintaining accuracy in all administrative processes Experience Proven experience in an office environment with strong clerical and administrative responsibilities Prior experience as a receptionist or personal assistant is highly desirable Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Strong communication skills with an emphasis on professionalism and phone etiquette; bilingual abilities are preferred but not required Experience managing multi-line phone systems and calendar scheduling tools Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous Previous roles involving customer service or customer support to foster positive interactions with clients or visitors Join us as an Office Administrator where your energy fuels our success!
