Job Description

Job Summary Blue Marlin Real Estate is growing, and we're looking for an experienced, upbeat, self-directed Real Estate Office Administrator who genuinely enjoys helping other people succeed. This is not a traditional sit-behind-a-desk admin position. We're looking for someone with real estate experience who understands the day-to-day world our agents work in and can become a trusted resource when they have questions, need direction, run into a problem, or simply need help figuring out their next step. This is also a new position with room to grow and evolve. We know what we need today, but we're equally interested in finding the right person who can help us identify what this role could become tomorrow. Job Responsibilities At the heart of this role is agent support and problem-solving. You'll work closely with our agents, Recruiting Team, Brokers, and Operations Manager to help create an environment where our agents have the resources, answers, and support they need to keep moving forward.
Responsibilities may include:
Serve as a go-to resource for agents with everyday questions, challenges, and office needs Answer and respond to agent phone calls, texts, and emails Help agents troubleshoot issues and determine the appropriate next step or person to contact Provide general guidance and support based on your real estate experience Help newer or developing agents navigate tools, systems, processes, and common real estate situations Assist with informal mentoring, coaching, and agent development where appropriate Work closely with our Brokers and Operations Manager to identify ways we can better support our agents Help communicate office procedures, resources, tools, and updates Assist agents with real estate technology and platforms when needed Help identify recurring questions or challenges and recommend resources, training, or process improvements Complete a variety of general office administrative tasks and special projects Help organize information, resources, documents, and internal systems Manage multiple priorities and requests throughout the day Follow projects and problems through instead of simply passing them along Bring forward new ideas for improving agent support, agent operations, systems, and processes Because this is a new position, we expect the responsibilities to continue developing. We want someone who is comfortable with that. Someone who can recognize a need and say, "I think I can help with that." Skills Required Previous professional experience in real estate is required Strong understanding of the real estate industry and the day-to-day needs of real estate agents Excellent verbal and written communication skills Strong problem-solving skills and the ability to confidently help people work through questions Ability to manage multiple requests and priorities in a fast-paced office Strong organization and attention to detail Ability to work quickly without sacrificing accuracy or quality Self-directed, dependable, and comfortable taking initiative Ability to recognize when you can solve something independently and when it should be escalated to leadership or a Broker Comfortable learning new technology, systems, and processes Highly Preferred Recent experience as a real estate agent, preferably within the past 12 months Previous experience collaborating, supporting, mentoring, training, or coaching others Experience with MLS platforms Experience with Dotloop Experience with Follow Up Boss Comfortable using ChatGPT Familiarity with Canva You'll thrive here if you: Are positive, approachable, patient, and upbeat Genuinely enjoy helping people figure things out Are the person others naturally come to when they have a question Know real estate well enough to understand what an agent is actually asking Enjoy solving problems instead of immediately passing them to someone else Can give direction while still knowing when something needs to go to the Broker or leadership Like having a variety of responsibilities throughout the day Are comfortable in a fast-paced environment where priorities can shift Work well independently without needing constant oversight Enjoy collaborating with leadership and being part of a team Have ideas and are willing to speak up when you see a better way to do something Want the opportunity to help build a position instead of simply stepping into a rigid job description Care about the success of the people around you Want to be part of a team that works hard, moves fast, helps each other, and celebrates the wins together We're not looking for someone who simply knows how to complete administrative tasks. We're looking for someone who knows real estate, likes people, solves problems, and wants to make the people around them better. If you have real estate experience and have ever thought, "I actually really enjoy helping other agents figure this stuff out," we want to hear from you.
