Job Description

We are looking for an organized, reliable, and trustworthy Office Administrator & Bookkeeper to join our team. In this dual-function role, you will keep our office operations running smoothly while managing core day-to-day accounting tasks. The ideal candidate is a self-starter who works well with minimal supervision, stays on top of details, and communicates effectively. If you are skilled in QuickBooks, comfortable juggling administrative projects, and enjoy keeping a business organized, we'd love to hear from you.
Key ResponsibilitiesBilling & Accounting Customer Invoicing & Billing:
Generate and send accurate invoices to clients based on completed work and technician/field reports. Accounts Receivable (A/R): Track open balances, post incoming customer payments, and manage polite collections/follow-ups on unpaid bills. Accounts Payable (A/P): Process vendor bills, send purchase orders, and make timely payments.
Bookkeeping:
Reconcile monthly accounts and keep all financial transactions accurately categorized in QuickBooks .
Payroll & Reporting:
Process employee payroll and assist management with routine financial summaries and budget tracking. Office & Administrative Operations Handle incoming phone calls, customer emails, and general correspondence professionally. Order, track, and maintain inventory for office supplies and project materials, collaborating closely with project managers. Handle incoming/outgoing mail, packages, and shipping logistics. Assist upper management with scheduling, appointments, and travel arrangements as needed. Maintain clean digital and physical records for clients, vendors, and ongoing projects.
Qualifications & Required Skills Experience:
2-3+ years of hands-on experience in office administration, invoicing, or bookkeeping.
Software:
Strong proficiency with QuickBooks (Online or Desktop) and MS Office (Excel, Word, Outlook).
Communication:
Excellent phone manner and clear written communication for client billing and vendor outreach.
Organization:
Highly organized, detail-oriented, and able to prioritize tasks independently.
Education:
High School Diploma required; Associate degree or business administration coursework is a plus.
