We are a busy, insurance-based, multi-provider practice focused on providing excellent patient care in a professional, welcoming environment. We are seeking an experienced Practice Manager / Office Manager to lead our team and oversee the day-to-day operations of the practice. We are looking for more than a senior front-desk employee. This is a true leadership role for someone who is organized, confident, proactive, and comfortable holding people accountable. The right candidate will be able to keep a high-volume healthcare office running smoothly, improve systems, support the team, and create an exceptional patient experience with minimal day-to-day oversight from the doctors. Our practice is entering an important new phase as we implement a new practice management and EMR system and strengthen our workflows and leadership structure. We are looking for someone who is comfortable leading through change, learning new technology, and helping a team stay organized and focused during a transition. Our experienced remote Office Manager will remain involved during the transition and will train the incoming manager on our team, systems, insurance processes, workflows, and historical operations. The new Practice Manager will ultimately take ownership of the day-to-day on-site leadership and operations of the practice. Key Responsibilities Lead, train, mentor, and hold employees accountable for performance, professionalism, accuracy, and patient service Oversee daily office operations, staffing, scheduling, and patient flow Serve as the primary operational liaison between doctors/owners and staff Hire, onboard, evaluate, coach, and discipline employees as needed Identify recurring operational problems and implement practical solutions Improve office systems, policies, workflows, and procedures Monitor front-desk, insurance, billing-support, patient-balance, and patient-service processes Work with billing and administrative teams to identify insurance, collections, or workflow issues requiring management attention Help lead the team through new EMR implementation and workflow changes Maintain appropriate HIPAA, privacy, and healthcare-office procedures Resolve patient and employee concerns professionally and appropriately Maintain supplies, inventory, and vendor relationships Step into daily operations when needed and lead by example What We're Looking For 3+ years of healthcare management or comparable medical-office leadership experience Chiropractic, physical therapy, dental, or other healthcare-office experience preferred Direct experience supervising employees Experience with hiring, training, coaching, accountability, and performance management Working knowledge of scheduling, insurance, billing workflows, patient balances, and healthcare-office operations Experience with EMR or practice management systems General understanding of HIPAA and healthcare-office compliance requirements Strong organization and attention to detail Excellent communication and follow-through Confidence making decisions and addressing difficult situations Calm, solution-focused approach in a fast-paced environment Ability to learn new technology and lead employees through change Willingness to step in and help when the team needs support Chiropractic Experience & Interest A genuine interest in chiropractic care and an understanding of the chiropractic patient experience are strongly preferred.
