This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support, managing daily clerical tasks, and fostering a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will demonstrate strong organizational skills, excellent communication abilities, and proficiency with office management tools. Your energy and proactive approach will help us maintain a productive workspace where everyone can thrive. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy Handle all incoming calls using proper phone etiquette, directing inquiries to appropriate team members or departments Manage calendar scheduling, appointment setting, and meeting arrangements for staff and executives Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and other office management tools to streamline administrative processes Support bookkeeping tasks including basic bookkeeping duties and expense tracking Maintain office supplies inventory, order necessary materials, and ensure the workspace remains tidy and functional Assist with clerical duties such as copying, scanning, mailing, and preparing correspondence or reports Provide customer support by addressing inquiries promptly and professionally in person or via phone or email Coordinate with vendors or service providers to facilitate office maintenance or repairs as needed Experience Previous office management or administrative experience is essential; familiarity with office environments such as medical or dental reception is a plus Proven ability to handle multi-line phone systems and manage front desk operations efficiently Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping tasks Bilingual skills are highly desirable to effectively communicate with diverse clients and team members Demonstrated organizational skills with excellent time management capabilities to prioritize tasks effectively Experience in clerical functions such as data entry, filing, proofreading, and document management Knowledge of customer service best practices along with professional phone etiquette Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized workflows Join us in creating an energetic workplace where your organizational talents will shine!
