Job Overview We are seeking an energetic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves overseeing daily office activities, managing administrative staff, and providing exceptional customer service to both internal teams and external visitors. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to foster a productive and welcoming workplace. As an Office Manager, you will play a key role in maintaining efficient office workflows, supporting team needs, and ensuring all administrative functions operate seamlessly. Duties Coordinate daily office operations, including managing front desk activities and multi-line phone systems to ensure prompt and professional communication. Oversee scheduling, calendar management, and appointment setting for staff and management teams. Handle clerical tasks such as data entry, filing, proofreading, and maintaining accurate records using Microsoft Office, Google Workspace, and other relevant software. Manage office supplies inventory, place orders as needed, and oversee office maintenance to create a comfortable work environment. Provide exceptional customer support by greeting visitors, answering inquiries with proper phone etiquette, and assisting clients or vendors efficiently. Assist with special projects such as proofing documents, organizing files, and supporting personal assistant tasks for executive staff when required. Skills Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Demonstrated experience with office management responsibilities including clerical work, filing systems, and data entry. Exceptional customer service skills combined with professional phone etiquette and experience managing multi-line phone systems. Bilingual abilities are highly desirable to support diverse client interactions and team communication. Proven ability to handle calendar management efficiently while demonstrating strong time management skills. Adept at proofreading documents for accuracy and clarity; capable of supporting administrative projects with attention to detail.
