Job Description
Office Manager - Roofing Production | Palm Bay Interstate Roofing is growing, and we're looking for an Office Manager to join our new Palm Bay office! This is a full-time, in-person position for someone who wants to become an important part of our team and grow with us long-term. We're not looking for someone who needs to be told what to do every step of the way. We're looking for a highly motivated self-starter who sees what needs to be done, takes ownership, and gets it done. This is a production-focused office position. You'll help with day-to-day office responsibilities, but a major part of your job will be working roofing files and keeping insurance claims moving. You will spend a significant amount of time on the phone. You'll make frequent outbound calls to insurance companies and adjusters to get updates, follow up on outstanding items, request information, and make sure our files continue moving through the many steps of the insurance process. If you're comfortable picking up the phone, having conversations, asking questions, following up, and staying persistent until you get an answer, this could be a great fit. What You'll Be Doing
- Manage and maintain roofing project files throughout the insurance and production process
- Make frequent outbound calls to insurance companies, adjusters, and other contacts
- Follow up on claims, inspections, documentation, approvals, supplements, and other outstanding items
- Keep files moving and make sure the next step is always being addressed
- Communicate with homeowners, insurance companies, adjusters, and our production team
- Keep project information and documentation organized and up to date
- Identify issues holding up a file and take initiative to get them resolved
- Help with day-to-day office administration and organization
- Update internal systems and maintain accurate records
- Manage multiple files, priorities, and deadlines at the same time
- Look for ways to improve organization, communication, and workflow within the office What We're Looking For The most important thing is that you're a highly motivated self-starter who takes ownership of their work.
- Is a strong self-starter who takes initiative
- Is comfortable making a high volume of outbound calls
- Has a professional and confident phone presence
- Is persistent and knows how to follow up
- Takes ownership instead of waiting to be directed
- Can stay organized while managing multiple files
- Pays attention to detail and follows through
- Can prioritize their workload and manage their own time
- Is comfortable working on a computer and learning new systems
- Communicates well and works well with a team
- Is dependable and accountable
- Wants to grow with a company and build a long-term career Roofing, insurance, construction, claims, production, or office experience is a plus, but we can teach the right person our processes.
