Position Summary The Office Manager / Operations Coordinator is responsible for the day-to-day administrative and operational functions of the organization. This position serves as a central point of coordination for staff, vendors and leadership, helping ensure that the office operates efficiently, professionally, and in accordance with organizational policies and nonprofit requirements. The ideal candidate is highly organized, dependable, resourceful, professional, and comfortable wearing many hats in a small nonprofit environment. This position requires someone who can work independently, prioritize competing demands, maintain confidentiality, and step in wherever needed to support the organization and its mission. Key Responsibilities Office & Administrative Operations Oversee daily office operations and ensure the office is organized, functional, and adequately supplied. Manage office supplies, equipment, maintenance, mail, deliveries, and general office needs. Maintain organized electronic and physical files and records.. Assist leadership with administrative projects and special assignments. Maintain professional relationships with vendors and service providers. Assist with purchasing, invoices, receipts, and other administrative financial documentation. Staff Support Serve as an administrative resource to staff and leadership. Assist with onboarding and offboarding employees. Maintain employee files and required documentation. Assist with staff training records, certifications, and required documentation. Help monitor compliance with organizational policies and procedures. Assist with staff meetings, agendas, minutes, and follow-up items. Help coordinate organizational events, meetings and trainings. Operations & Compliance Maintain required licenses, certificates, contracts, and operational records. Assist with tracking deadlines, renewals, inspections, and other compliance requirements. Help prepare documentation for audits, grants, contracts, and other organizational requirements. Maintain confidentiality of client, staff, donor, and organizational information. Assist leadership with quality assurance and documentation processes. Technology & Communication Maintain office technology, shared drives, databases, and basic software systems. Assist staff with basic technology and administrative troubleshooting. Assist with email communications, correspondence, forms, and other administrative materials. Help maintain accurate organizational information across internal and external systems. Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred. 2+ years of administrative, office management, operations, or nonprofit experience preferred. Strong organizational and time-management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines. Strong attention to detail and follow-through. Proficiency with Microsoft Office. Ability to work independently while also functioning effectively as part of a small team. Professional, dependable, flexible, and solution-oriented. Ability to maintain strict confidentiality. Nonprofit experience strongly preferred. The Right Person for a Small Nonprofit This is a "wear many hats" position. Because we are a small nonprofit, flexibility and teamwork are essential. The successful candidate will be comfortable moving between administrative duties, operations, staff support and unexpected needs that arise throughout the day.
Pay:
$41,000.00 - $45,000.00 per year
