Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Responsibilities Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy using multi-line phone systems. Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize team productivity. Handle data entry tasks accurately using spreadsheets and productivity software like Microsoft Office, ensuring all records are up-to-date and well-organized. Maintain filing systems—both electronic and physical—ensuring easy retrieval of documents and compliance with organizational standards. Provide exceptional customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette and client communication skills. Assist with office management duties such as ordering supplies, managing office equipment, and coordinating maintenance requests. Support administrative projects including proofreading documents, preparing Word processing materials, and managing clerical tasks to ensure seamless workflow. Skills Proficiency in Microsoft Office Suite Word, Excel, Outlook) or Google along with strong computer literacy and technical proficiency. Experience with QuickBooks or similar accounting software is a plus for handling basic financial transactions. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong verbal and written communication skills; bilingual abilities are highly desirable to serve diverse client needs. Demonstrated experience in office management, clerical work, data entry, and administrative support roles. Knowledge of multi-line phone systems, phone etiquette, and customer service best practices. Ability to prioritize tasks effectively using time management techniques while maintaining attention to detail through proofreading and accurate typing.
