Position Summary The Office Manager is responsible for the clinic's daily operations, staff management, revenue cycle, and administrative compliance. This position works closely with the owner and providers to resolve operational problems, support patient care, maintain reliable financial processes, and keep the practice running efficiently. Key Responsibilities Practice Operations and Leadership Oversee daily administrative workflows and support providers and staff with scheduling, patient-service, billing, and operational issues. Manage staff schedules, coverage, hiring, onboarding, training, performance concerns, annual reviews, and offboarding. Maintain job descriptions and confidential personnel files; review staffing needs, responsibilities, and compensation with the owner. Develop and update policies, procedures, forms, and training materials. Communicate changes and verify that staff follow updated workflows. Coordinate supplies, equipment, facility maintenance, vendors, contracts, and practice projects. Prepare operational and financial reports and bring trends, unresolved issues, and recommendations to the owner. Revenue Cycle and Financial Administration Oversee and perform insurance billing, claim submission, payment posting, denial resolution, appeals, and accounts receivable follow-up. Verify insurance benefits, obtain referrals and authorizations, and maintain payer-related administrative processes. Manage patient statements, delinquent balances, and qualifying collection-agency referrals. Oversee nightly closes, credit card reconciliation, bank deposits, and payment discrepancies. Manage personal injury, workers' compensation, and VA-related billing and administrative issues. Review timecards and PTO, process payroll, prepare recurring invoices, and complete required sales-tax filings. Systems, Compliance, and Communications Maintain ChiroTouch settings, user access, scheduling workflows, and other practice systems. Troubleshoot routine technology issues and coordinate support with IT, software vendors, and phone-system providers. Maintain provider credentialing, professional records, payer portals, attestations, and applicable license renewals. Monitor administrative compliance, maintain audit documentation, and review relevant requirements with staff. Oversee practice email, phones, voicemail, patient messaging, urgent communications, medical-record requests, and online reviews. Coordinate marketing activities and assist with new services, operational changes, and other owner-directed initiatives. Qualifications and Skills Experience managing healthcare practice or comparable medical office operations; working knowledge of revenue cycle processes, staff supervision, payroll, compliance, and electronic practice-management systems; and strong judgment, communication, organization, and problem-solving skills.
