Job Description

We are looking for an experienced Office Manager to support daily operations in West Palm Beach, Florida. This role blends administrative leadership, customer service, and financial coordination to keep office activities organized and responsive. The ideal candidate will be confident managing contracts, payments, staff communication, and operational records while helping maintain a safe and well-run environment.
Responsibilities:
  • Guide and onboard new team members by teaching policies, workplace expectations, and standard operating procedures.
  • Coordinate closely with personnel to keep them updated on arrivals, departures, and schedule changes.
  • Respond to contract-related questions and prepare seasonal and annual agreements for customers.
  • Review income, identify billing inconsistencies, and work with the appropriate parties to resolve payment issues.
  • Supervise collection activities, process customer payments, and maintain accurate weekly updates for accounts receivable records.
  • Manage daily point-of-sale activity, complete register balancing, and finalize end-of-shift cash reconciliation.
  • Prepare bank deposits, monitor account activity, and maintain accurate tracking for petty cash usage.
  • Escalate maintenance, safety, security, and liability concerns to leadership, including facility hazards, equipment issues, and incidents.
