Job Description
Job Summary We are seeking a dynamic and highly organized Operations & Office Manager to lead our administrative functions and ensure the smooth operation of our office environment. This role offers an exciting opportunity to oversee daily office activities, manage vendor relationships, coordinate events, and support team management initiatives. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace. As a key member of our team, you will drive operational efficiency while maintaining a positive and professional office atmosphere. Duties Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical tasks to ensure seamless workflow. Coordinate and plan company events, meetings, and training sessions to promote team engagement and development. Manage vendor relationships for office supplies, equipment, and services to optimize costs and quality. Supervise administrative staff, providing guidance on scheduling, training, and performance management. Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes using QuickBooks or similar software. Assist with budgeting, bookkeeping, and expense tracking to maintain financial accuracy and accountability. Support medical or specialized office management tasks as needed, including appointment scheduling and medical record organization. Develop and implement efficient office policies and procedures to improve overall productivity. Manage calendar scheduling for leadership teams to ensure timely meetings and deadlines are met. Foster effective communication across departments through clear correspondence and team updates. Qualifications Proven experience in office management or administrative roles with supervisory responsibilities. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Experience with event planning, vendor management, budgeting, bookkeeping, and payroll processing. Proficiency in QuickBooks or similar accounting software is highly desirable. Excellent communication skills with a professional phone etiquette; experience managing multi-line phone systems preferred. Knowledge of human resources practices including onboarding, training & development, and employee relations. Familiarity with medical office management or specialized administrative environments is a plus. Demonstrated ability to supervise teams effectively while maintaining high standards of service delivery. Strong attention to detail in filing, record keeping, and administrative documentation.
