In this role, you will be the backbone of our daily operations, ensuring our clients receive a warm welcome while managing the critical administrative and financial workflows that keep our practice running smoothly. Key Responsibilities Office Administration & Client Relations Serve as the primary point of contact. Manage all front desk operations, greeting clients and visitors and handling inquiries with professionalism and courtesy. Use Simple Practice system and Google Workspace to coordinate clinician schedules, manage appointment bookings, and handle reminders to minimize no-shows. Maintain digital and physical client/agency records in compliance with HIPAA regulations and confidentiality standards. Perform data entry tasks accurately using spreadsheets, Word processing, and other Microsoft Office applications Handle phone systems, screen calls, and direct calls appropriately while maintaining excellent phone etiquette Maintain organized filing systems both digitally and physically to ensure easy retrieval of documents Proofread documents for accuracy and clarity before distribution or submission Oversee general office upkeep, order supplies, and support clinicians with administrative tasks and personal assistant duties as needed. Provide administrative support to various departments as needed, including personal assistant duties or medical/dental receptionist responsibilities
