Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and courteously Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for daily administrative tasks Coordinate calendar management and schedule appointments or meetings using various digital tools Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Provide exceptional customer support by addressing inquiries promptly via phone, email, or in person Maintain office supplies inventory, order necessary materials, and oversee general office upkeep Support medical or dental reception duties as needed, including patient check-in and appointment scheduling Handle clerical responsibilities such as copying, scanning, and organizing documents with attention to detail Experience Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Experience working with multi-line phone systems and providing excellent phone etiquette Bilingual abilities are highly valued to serve diverse client needs effectively Previous roles as a receptionist—medical or dental—are advantageous for understanding front desk operations Familiarity with bookkeeping software like QuickBooks or similar programs is preferred Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Clerical experience including filing, proofreading, calendar management, and document handling is essential Personal assistant experience or office support roles that involve customer service and administrative duties will be considered a plus Join us as an Office Administrator where your enthusiasm meets your expertise!
