Job Overview The Office Administrator is responsible for supporting the daily operations of the business by managing all purchasing requirements, maintaining inventory levels of bolts, fittings, connectors, and other components, stocking incoming materials, organizing storage areas, and ensuring receiving shelves are cleared promptly. This position prepares and maintains purchase orders, shipping documents, manages equipment calibration schedules, assists with cost log tracking and monthly invoicing, and coordinates all inbound and outbound shipments while communicating with customers. The Office Administrator serves as the first point of contact for visitors and phone calls, unloads deliveries using a forklift when appropriate, and provides exceptional customer hospitality by coordinating lunches, preparing conference rooms, and ensuring guests have a welcoming experience. Additional responsibilities include maintaining the cleanliness and organization of office areas, restrooms, and breakrooms, keeping office supplies and refreshments stocked, identifying cost-saving opportunities with vendors and suppliers, improving facility organization and operational efficiency, supporting technicians and engineers by streamlining daily workflows, and consistently demonstrating a proactive, team-oriented attitude by assisting wherever needed to promote a safe, productive, and professional workplace while contributing to the company's overall growth and success. Requirements Proven experience in office administration, clerical work, or customer service roles. Strong computer literacy with proficiency in Microsoft Office (Word, Excel), and data entry tools. Excellent organizational skills with the ability to prioritize tasks effectively. Exceptional phone etiquette and communication skills, including experience with multi-line phone systems.
