Job Description

State of Idaho Opportunity Office Support Manager - Canyon County Full-time (40 hours) - $72,000 annually The Idaho State Public Defender (SPD) provides holistic legal representation meeting the highest ethical and professional standards to protect the rights of people who cannot afford to retain counsel. The SPD is responsible for all indigent defense cases throughout the State of Idaho, including both juveniles and adults.

This position is a non-classified position and is exempt from classified state service and the rules of the Division of Human Resources and the Idaho Personnel Commission.

POSITION DESCRIPTION

The primary role of the Office Support Manager is to provide comprehensive administrative, operational, and legal support to the Managing Attorney and office staff to ensure the efficient and effective operation of the office. This is a non-classified position that reports to the Managing Attorney or their designee. Example of Duties Provide direct support to the Managing Attorney; Supervise support staff in the office; Ensure support is provided to staff so that the office operates efficiently (schedule meetings, training, and travel approvals, etc.); Interpret, apply, and implement SPD policies and procedures; Manage the office facility, including communicating with vendors and Idaho Information Technology Services, overseeing the use and service of office equipment, software, and computer hardware; Onboard new employees and support the agency management team and Idaho Division of Human Resources as needed for interviews and employee reviews; Direct and oversee management of records retention schedules; Plan, organize, implement, and evaluate special projects; Independently research, compile, develop, and summarize material for reports on a frequent or recurring basis; Analyze information, identify problems, define alternatives, and develop recommendations for the Managing Attorney; Assist with document review and preparation and process discovery; Generate motions, memoranda, and pleadings in the Case Management System (CMS); Provide document management support for meetings, hearings, and trials; Enter and review data in the Case Management System according to CMS guidelines; Assist with trial exhibit preparation; Communicate with clients and court personnel; File documents electronically; Track own time and tasks in the CMS; Maintain confidentiality of client information and adhere to ethical standards; Organize electronic case files in the CMS; Answer phones, send emails, and greet clients in the office; Maintain a high level of proficiency with CMS, legal, and administrative software and platforms; Calendar events and deadlines and schedule appointments; and Perform other duties as assigned.

MINIMUM QUALIFICATIONS

One to five (1-5) years of experience in the legal field related to the job responsibilities reflected above, or one to five (1-5) years of experience performing standard administrative tasks such as preparing correspondence or reports, filing, entering data, receiving payments, and/or maintaining logs that includes the regular, proficient use of electronic management information systems and word processing and other standard business software applications, or an associate degree or bachelor's degree in a related field; Exceptional administrative skills, including organization, time management, and attention to detail; Excellent grammar and proofreading skills; and Clear and professional communication skills.

PREFERRED SKILLS/EXPERIENCE

Possess strong leadership skills and a leadership style that inspires and encourages professional growth in others; Have experience and interest in coaching, guiding, and mentoring staff; Have an understanding of and demonstrated experience with collaborative leadership and change management; and Have prior experience with at-risk populations and a demonstrated ability to relate effectively to a diverse clientele and staff.
