POSITION SUMMARY
Construction Solutions Company is seeking an organized, detail-oriented Office Administrator to support the daily operations of our commercial construction company. This position serves as a central point of coordination for office administration, accounting support, licensing, fleet management, company credit cards, and company meetings and events. The ideal candidate is proactive, professional, dependable, and comfortable managing a wide variety of responsibilities in a fast-paced, team-oriented environment.
ESSENTIAL
RESPONSIBILITIESOffice Administration
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Monitor and respond to general company emails and route inquiries to the appropriate team member.
  • Welcome clients, subcontractors, vendors, and visitors to the office.
  • Manage incoming and outgoing mail, deliveries, office supplies, and general office organization.
  • Maintain organized electronic and physical filing systems.
  • Provide administrative support to leadership and other departments as needed. Invoice & Accounting Support
  • Receive, review, code, route, and track invoices through the company approval process.
  • Assist with invoice entry, payment documentation, vendor questions, and other accounting-related tasks.
  • Assist the accounting team with reconciliations, data entry, reporting, and special projects as assigned. Business Licenses & Compliance
  • Maintain company business licenses, contractor registrations, and related compliance records.
  • Track renewal dates and submit required applications, fees, and supporting documentation on time.
  • Coordinate licensing requirements for new jurisdictions, projects, or business activities. Fleet & Vehicle Management
  • Maintain vehicle records, registrations, insurance documents, titles, and driver assignments.
  • Track preventative maintenance schedules and coordinate service, repairs, inspections, and renewals. Company Credit Card Management
  • Issue and maintain company credit cards and cardholder records.
  • Collect receipts and supporting documentation for company purchases.
  • Reconcile monthly transactions and follow up on missing or incomplete documentation. Meetings & Event Planning
  • Plan and coordinate company meetings, employee events, client functions, and other company activities.
  • Coordinate venues, catering, invitations, registrations, supplies, and day-of logistics. Project & General Support
  • Provide administrative support to Project Managers, Project Coordinators, and company leadership as needed.
  • Help improve office procedures, tracking systems, and administrative workflows.
  • Maintain confidentiality of employee, financial, client, and company information.
QUALIFICATIONS
Required
  • High school diploma or equivalent.
  • Two or more years of administrative, office, accounting support, or related experience.
  • Strong organizational, prioritization, and time-management skills.
  • Professional written and verbal communication skills.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Ability to manage multiple responsibilities with accuracy and attention to detail.
  • Professional customer service skills and a dependable work ethic. Preferred
  • Experience in the construction industry or another project-based business.
  • Basic accounting, accounts payable, or bookkeeping experience.
  • Experience coordinating company meetings, events, or fleet activities.

PHYSICAL REQUIREMENTS
  • Prolonged periods of sitting at a desk and working on a computer.
