Office Administrator Grace Construction Full-Time | $21+/hour, depending on experience | PTO At Grace Construction, great projects depend on more than what happens in the field. We're looking for a full-time Office Administrator who is organized, detail-oriented, comfortable working with numbers, and enjoys being the person who helps keep the day-to-day office running smoothly. This position combines accounts payable and receivable responsibilities with general office administration and is a great fit for someone who takes ownership of their work, and can confidently manage multiple priorities. Position Overview The Office Administrator supports the daily administrative and financial operations of Grace Construction. This position is responsible for accounts payable and accounts receivable functions, answering and directing incoming calls, documenting company meetings, maintaining organized records, and providing general administrative support to the team. The ideal candidate is someone who is professional, dependable, detail-oriented, and able to shift between financial and administrative responsibilities throughout the day. Key ResponsibilitiesAccounts Payable & Receivable Receive, review, enter, and organize vendor and subcontractor invoices. Assist with processing accounts payable and preparing payments. Create and send customer invoices as needed. Maintain accurate payment and invoice records. Maintain organized financial documentation and electronic records. Office Administration Answer and professionally route incoming phone calls. Monitor and route general office communications. Take accurate and organized minutes during company meetings. Maintain organized digital and physical filing systems. Provide general administrative support to management and other team members. Help ensure day-to-day office tasks are completed accurately and on time. Qualifications Previous administrative, office, bookkeeping, AP/AR, or similar experience preferred. Proficiency in Microsoft Excel is required Strong organizational and time-management skills. High attention to detail and accuracy. Professional written and verbal communication skills. Comfortable working with numbers and financial information. Ability to prioritize responsibilities and manage multiple tasks. Proficiency with computers, email, spreadsheets, and standard office software. QuickBooks experience is preferred but not required. Construction industry experience is a plus but not required. Compensation & Benefits Starting pay: $21+/hour, depending on experience Full-time position Paid Time Off (PTO) Collaborative team environment
