Associate Director and Executive Director Education Requirements:
Associates degree and two years of office management experience, or High School diploma and 4 years of office management experience.
Job Duties and Responsibilities:
Screen incoming phone calls to make sure clients meet requirements for services and reside within boundaries as determined by the Illinois Department on Aging. Determine appropriate routing of incoming calls. Process client referrals and intake records. Greet in-person clients and aid as required. Schedule appointments for various services. Complete Intake Process. Must be proficient in Microsoft Word, Outlook and Excel spreadsheets. Must be reliable and available to open the office at 8:00am and close the office at 4:00pm daily, Monday through Friday. Accept payments and issue receipts. Track receipts on weekly deposit log. Completes weekly bank deposits. Process incoming and outgoing faxes, mail and inter-office mail. Gather Advisory Council minutes, letters to the Board, and all pertinent information for the monthly Board of Directors Meeting. Coordinate facility set up for meetings and activities. Assist Elgin Office Manager with annual surveys, compile survey results, and prepare report of results. Assist the Executive Director, Associate Director, CCU Supervisor, and APS Supervisor as needed. Train and supervise front desk staff to ensure continual coverage and proper procedures are followed. Assist and or facilitate agency fundraisers. Oversee ordering office supplies and other necessary items needed. Ensure maintenance concerns are addressed. This includes maintaining cleaning staff for the work area. Assists with the development of the Senior Voice as requested.
