Office Manager Full-Time | On‑Site | Galesburg, IL We are seeking a highly organized, dependable Office Manager to run all administrative functions for our business. This position is the sole office role and is responsible for managing daily operations, customer communication, employee support, finance routines, and compliance tasks. Key Responsibilities Serve as the primary point of contact for all customers, vendors, and internal staff Manage phones, email communication, scheduling, and order processing Handle all administrative tasks including data entry, filing, recordkeeping, and documentation Oversee HR-related duties: onboarding paperwork, timekeeping, employee updates, and ADP management Troubleshoot issues, resolve customer concerns, and escalate when necessary Keep the office organized, efficient, and running smoothly without daily supervision Bookkeeping & Finance Responsibilities Prepare and send invoices Process payments and record transactions Manage billing, credits, and customer account updates Reconcile accounts and maintain accurate financial records Track expenses, vendor payments, and purchase orders Support payroll processing and ensure timekeeping accuracy Assist with monthly and year‑end financial routines Requirements Associate's or Bachelor's degree preferred, or equivalent 3+ years experience in office administration, bookkeeping, or business operations. Strong communication skills (phone, email, customer-facing) Proficiency with Microsoft Office and standard office software Ability to manage multiple responsibilities independently without daily supervision High attention to detail and accuracy Strong organizational skills and ability to maintain structured processes Comfortable learning new systems Preferred Qualifications Experience with payroll or timekeeping systems Experience with invoicing, billing, or basic bookkeeping Experience supporting HR tasks such as onboarding or maintaining personnel files
