Responsibilities Manage front desk operations, greeting visitors and clients with professionalism and warmth. Handle multi-line phone systems, directing calls accurately and courteously while providing excellent customer support. Maintain organized filing systems, data entry, and document management using spreadsheets and word processing software. Oversee calendar management, scheduling appointments, meetings, and events with precision. Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping. Support office management duties including supply ordering, inventory control, and facility upkeep. Assist with clerical tasks such as proofreading documents, preparing reports, and maintaining accurate records. Coordinate communication between clients, vendors, and internal teams to ensure seamless operations. Demonstrate strong organizational skills by prioritizing tasks effectively to meet deadlines. Provide personal assistant support as needed to executives or team members to enhance overall productivity. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with productivity software for efficient task completion. Experience with office management systems including multi-line phone setups and filing systems. Strong computer literacy with the ability to adapt quickly to new software tools like QuickBooks. Excellent organizational skills with a keen eye for detail in data entry, proofreading, and document management. Exceptional customer service skills combined with professional phone etiquette and client communication abilities. Bilingual capabilities are highly desirable to serve diverse client needs effectively. Proven clerical experience in an office environment with a focus on administrative support roles. Ability to manage time effectively while handling multiple responsibilities simultaneously. Technical proficiency in using spreadsheets for data organization and analysis.
