Our team is seeking an Office Manger who can lead our team, enhance practice performance, and drive accountability. Position Summary The Office Manager oversees daily operations, team coordination, patient experience, scheduling, financial systems, and operational performances. The role works closely with the doctors, financial coordinator , and front desk staff. Key Responsibilities Team Leadership & Human Resources Oversee and lead HR responsibilities Manage staff scheduling, attendance, vacation/PTO requests Conduct employee annual performance reviews in conjunction with doctors Assist with daily team huddle Facilitate monthly team meetings Organize and coordinate Patient Appreciation Day Financial Management Submit payroll Manage bill paying, patient contracts, and routine financial tasks Operations & Administration Renew practice licenses and professional memberships Plan and coordinate biannual staff retreats Schedule patient appointments Verify patient insurance and benefits Marketing Plan and coordinate internal marketing initiatives Assist with building and maintaining relationships with dental offices Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with QuickBooks or other bookkeeping software is highly desirable. Excellent computer literacy with the ability to perform data entry accurately and efficiently. Strong communication skills in both English and bilingual capabilities preferred to support diverse client needs. Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally. Demonstrated ability to manage calendars, prioritize tasks effectively, and meet deadlines in a fast-paced environment. Previous experience in customer service or front desk roles within medical or dental offices is a plus.
